Questions to ask
before you book
Ask every agency on your shortlist the same questions, then compare the answers side by side.
- Have you done an event like ours recently?
Ask for an example from the last year with a similar guest count and budget. - Who will be our contact, and will they be there on the day?
Some agencies sell with a senior person and hand over to someone junior. - What is included in the price, and what isn't?
Ask specifically about venue fees, permits, service charges, VAT or GST, overtime and transport. - Which suppliers do you use, and can we use our own?
Some agencies earn a margin on their suppliers. That's normal, but you should know. - Do you have your own entertainers, or do you book outside acts?
In-house acts can be cheaper and easier to coordinate. Outside acts give you more choice. - What is the payment schedule?
A deposit plus staged payments is common. Paying everything up front is a risk. - What happens if we move or cancel the event?
Get the answer in writing, with dates and amounts. - Who handles permits and licences?
Events with performers, alcohol or public access often need them. Ask who applies and who pays. - What is your plan if something fails on the day?
Weather, power, a no-show performer. A good agency has an answer ready. - Can we speak to a recent client?
One short phone call tells you more than any portfolio.
